The Problem
A gym was tracking member expiries manually on a spreadsheet, sending renewal reminders one by one, and had no automatic way to onboard new members. Staff spent time daily on admin that should have been running itself.
The Solution
I built three connected n8n workflows: a registration workflow that processes new member form submissions, creates their Airtable record, and sends a welcome email automatically; a daily expiry detection workflow that scans Airtable for expiring memberships and sends member notifications plus a Telegram alert to the gym owner; and a renewal confirmation workflow triggered by webhook when a member renews.
